Privacy Policy

TakingCare ("we", "us", "our") provides a practice-management service for therapists, psychologists, and mental-health professionals. This policy explains what information we collect, how we use it, and the choices you have. We designed TakingCare around the principle that clinical work is private — and we treat your data accordingly.
1. Who we are
TakingCare is operated by Impact Software Systems (1996) Ltd, Company No. 512275983.

2. Information we collect
Information you provide
- Account details (name, email address, password hash, profession).
- Practice data you enter into the app: client records, scheduling, billing, clinical notes.
- Messages you send us through support channels or the contact form.
Information we receive when you connect Google
When you choose to connect your Google account, Google's OAuth flow asks for your permission to share specific information with TakingCare. We only request the scopes we need to operate the calendar-sync feature:
- Calendar access — to read your existing events (to avoid double-booking) and to create, update, or remove the events you schedule inside TakingCare.
- Basic profile — your name and email address, so we can link your TakingCare account to the correct Google identity.
We do not request access to Gmail, Drive, Contacts, or any other Google service.
Information collected automatically
- Standard log data (IP address, browser type, timestamps) to keep the service running and secure.
- Minimal product analytics (anonymized usage events) to understand which features are used.
3. How we use your information
- To provide the TakingCare service: scheduling, billing, clinical-note storage, and Google Calendar synchronization.
- To authenticate you and keep your account secure.
- To respond to your support requests.
- To send essential service notices (we do not send marketing email without your consent).
- To comply with legal obligations.
4. Google user data — Limited Use
TakingCare's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In plain terms:
- We use Google calendar data only to provide and improve the calendar-sync feature you turned on.
- We do not transfer Google user data to third parties except as needed to run the service (e.g. our hosting provider), for security, or when legally required.
- We do not use Google user data for advertising.
- No human at TakingCare reads your calendar data, except (a) with your explicit permission when you ask for support, (b) for security investigations, or (c) where required by law.
- We do not use Google user data to train generalized or third-party AI/ML models.
5. How we store and protect your data
- Data is stored on managed cloud infrastructure with industry-standard physical and network security.
- Sensitive clinical content is encrypted at rest and in transit (TLS).
- Access is restricted to authorized personnel on a need-to-know basis.
- Authentication tokens received from Google are stored encrypted and used only to perform the actions described above.
6. Sharing
We do not sell your data. We share it only with:
- Service providers acting on our behalf (hosting, error-monitoring, payment processing) under contractual confidentiality obligations.
- Authorities, when legally compelled.
- A successor entity in the event of a merger or acquisition, subject to this policy.
7. Retention
We retain your data for as long as your account is active. After you close your account, we delete or anonymize your data within 90 days, unless we are required to retain specific records by law (for example, tax or invoicing records).
8. Your rights
You can access, correct, export, or delete your TakingCare data at any time from the app, or by writing to us at sales@impactsoft.co.il. You can disconnect your Google account at any time inside TakingCare's settings, or directly at myaccount.google.com/permissions — this immediately revokes our access to your Google data.
9. Children
TakingCare is intended for licensed mental-health professionals. We do not knowingly collect personal data from children. If a clinician records information about a minor client as part of their practice, the clinician remains the data controller for that information.
10. International transfers
Your data may be processed in countries other than your own. Where required, we rely on appropriate legal mechanisms for cross-border transfers.
11. Changes to this policy
If we make material changes, we will notify you by email or in-app before the change takes effect. The "Last updated" date at the top of this page always reflects the current version.
